Groups and permissions
User permissions are managed in the Lexer platform by the use of Groups, which allow access to certain areas and functions within your account.
Your team’s permissions will have a customized structure that meets the needs of your company, and you have the ability to adjust a user’s Group when the “Edit Team” permission is enabled on your account. As a manager, this permission will automatically be enabled on your account.
To understand the permission structure of your account, or to set up a new Group, please reach out to Lexer Support.
What do Groups control?
Groups control 3 things:
1. Products and features
The products and features within the Lexer platform that you need to be able to access to do your job.
Different roles or teams require access to different work flows, filters, and notifications. Keeping your team’s view of only the things they need to perform their role makes it clear and simple for them, and reporting on them more manageable for you.
In certain areas of the Lexer platform, you’ll need to be granted permission to perform certain actions. For example, your Customer Service team would need to have the ability to respond to messages through Lexer Engage, though perhaps only a certain few would need to be able to adjust the content coming through the work flow.
What does each permission do?
Within each Group, you have the ability to apply a set of permissions. Here’s what they do:
|Permission||What it does|
|Listen||Gives access to Listen|
|Engage||Gives access to Engage|
|Outbox||Gives access to the Outbox|
|Identify||Gives access to Identify|
|Activate||Gives access to Activate|
|Command||Gives access to Command|
|Edit Team||Provides the ability to add new team members, edit team member details, and update team member permissions|
|Edit Classifications||Provides the ability to add, or edit Classifications that are used to define objects|
|Integrator||Allows the admin of a social or service account to integrate them into Lexer|
|Activity||Gives access to team performance and stats in Activity|
|Security Logs||Gives access to the security logs within Activity, which contains a list of all actions made by your team|
|Access Reports||Gives access to Reports to create PDF content reports|
|Tier 1||Allows access to Tier 1 filters|
|Edit Tiers||Provides the ability to add and edit Tier Filters|
|Publisher||Provides the ability to publish original content from the Outbox|
|Approver||Gives permission to approve draft responses made by other team members in Engage|
|Identities from Engage||Allows access to Identities view in Engage|
|Edit Tribes||Provides the ability to update Tribe attributes, and edit Tribe names|
|Individual Identities||Gives access to individual Identities|
|Two Factor||Two factor authentication needed to login, which requires a verified phone number|
How to manage your Groups
We work with you to ensure your Group setup fits your needs, and is easy to manage.
Generally, your Groups will be based on different teams and roles. Let’s say you have a customer service team - they’re going to need access to Engage, and have the ability to respond to your customers. For your marketing team, they’re going to need access to certain functions in Identify.
Here are some examples of Groups we’d suggest, and their permission structure:
|Admin||Integrators, Edit Team, Edit Classifications, Security Logs, Approver||This Group would be best used by managers or team leads. These permissions give them the ability to manage their account, team, work flow, and reporting, as well as QA and approve content before it goes live to your customers|
|Customer Service||Engage, Responders, Tier 1, Identities from Engage||This Group would allow a Customer Service team to access Engage, and interact with content in your Inbox, as well as see information about your customers for an informed response|
|Marketing||Listen, Tier 1, Edit Tiers, Identify, Activate||This Group would give a Marketing team the ability to find and listen in to their customers, and send marketing material to a targeted audience|
|Notifications||N/A||This Group doesn’t need access to the Lexer platform, but are able to receive notifications about important topics, such as alerts to potential risks or threats picked up on social media|
Though there are a number of configurations we could use to ensure that each user is set up with the permissions that are relevant to their role, and areas of the platform are visible to the correct teams.
Your Group permissions will be set up by your Lexer Success Manager, and will be based on the needs of your team. If you feel like these need to be adjusted at any time, or you require a new Group, just let them know, or contact Lexer Support.
